Pancake Privacy Policy
Effective date: January 1, 2025
This Privacy Policy explains how Pancake Apps, LLC ("Pancake," "we," "us") collects, uses, and shares information when you use pancake.app, our web and desktop apps, and related services (the "Services"). Pancake is production management software for film and video teams.
By using the Services, you agree to this Policy. If you don't agree, don't use the Services.
Who we are
Pancake Apps, LLC operates the Services and is the controller of personal information described here, except where we process information on behalf of a production (see "Information you add about other people" below).
Contact: hello@pancake.app · 1442 W 1460 N, Provo, UT 84604
Information we collect
Information you give us
- Account information: name, email, password, phone number, profile photo, and professional details such as department and role.
- Production content: scripts, breakdowns, schedules, call sheets, locations, wardrobe, cast and crew listings, budgets, files, comments, and anything else you create, upload, or share in a production.
- Billing information: your plan, billing contact, and transaction history. Payment card details are collected and stored by our payment processor, Stripe, not by us, except for limited information such as card type and last four digits.
- Communications: messages you send us, support requests, survey responses, and feedback.
Information you add about other people
When you invite collaborators or add cast, crew, vendors, or locations to a production, you may give us their names, contact details, rates, and other information. You're responsible for having the right to share it. For production content, we generally act on behalf of the account that owns that production.
Information collected automatically
- Usage data: pages and features used, actions taken, dates and times, and referring URLs.
- Device data: IP address, browser and device type, operating system, and approximate location derived from IP.
- Cookies and similar technologies: used to keep you signed in, remember preferences, secure the Services, and understand usage. You can control cookies in your browser; some features won't work without them.
Information from third parties
- Google sign-in: if you sign in with Google, we receive your name, email address, and profile photo.
- Stripe: confirmation of payments and subscription status.
How we use information
- Provide, operate, and maintain the Services, including productions, sharing, and permissions.
- Process subscription payments and fees.
- Communicate with you about your account, productions, security, and updates.
- Provide support and respond to requests.
- Improve the Services, develop new features, and understand how they're used.
- Use AI models to help tag, organize, and clean production data. We don't sell your content or let third parties use it to train their own AI models.
- Detect and prevent fraud, abuse, and security incidents.
- Comply with legal obligations.
- Send marketing messages where permitted. You can opt out anytime using the unsubscribe link.
Where the law requires a legal basis (such as in the EU or UK), we rely on performance of a contract, legitimate interests, compliance with legal obligations, and consent.
Desktop app
The Pancake desktop app stores some data on your device and syncs it with our servers. If you enable the optional on-device AI model, it processes your production data locally, and that processing data isn't sent to us. Uninstalling the app removes locally stored data; data synced to your account follows the retention terms below.
How information is shared
We don't sell your personal information or share it for cross-context behavioral advertising.
- Within productions: content you create or share in a production is visible to its members according to the permissions set by the production's owner and admins.
- Service providers: vendors that host data, process payments, provide AI processing, and support the Services, under contracts that limit their use of your information. Current providers: Stripe (payments), Vercel (hosting), Amazon Web Services (hosting and storage), Anthropic (AI processing), and sent.dm (text messaging).
- Legal and safety: to comply with law, legal process, or government requests, and to protect the rights, safety, and property of Pancake, our users, or others.
- Business transfers: in a merger, acquisition, financing, or sale of assets, information may transfer to the successor, subject to this Policy.
- With your consent: any other sharing you authorize.
Text messages
If you opt in to text messages from Pancake, we use your mobile number to send the messages you agreed to. Msg and data rates may apply, and message frequency varies. Reply HELP for help or STOP to opt out at any time.
No mobile information will be sold or shared with third parties or affiliates for promotional or marketing purposes. Text messaging opt-in data and consent are not shared with any third parties, except service providers that help us deliver messages.
Data retention
We keep information while your account is active and as needed to provide the Services. After you delete your account, we delete or de-identify your personal information within 30 days, except where we must keep it longer for legal, tax, accounting, or dispute purposes (for example, payment records). Content you shared into a production owned by someone else may remain in that production.
Security
We use administrative, technical, and physical safeguards, including encryption in transit and at rest, access controls, and monitoring. No system is completely secure, so we can't guarantee absolute security. Tell us right away at hello@pancake.app if you believe your account has been compromised.
Your rights and choices
- Access, correct, or delete: update most information in your account settings, or contact us.
- Export: request a copy of your information in a portable format.
- Marketing: opt out through the unsubscribe link or your settings.
- Cookies: manage them in your browser.
Depending on where you live (including California, Utah, other US states, the EU, and the UK), you may have additional rights, such as to object to or restrict processing, withdraw consent, or appeal a decision on your request. To exercise any right, email hello@pancake.app. We'll verify your identity and respond within the time the law requires. We won't discriminate against you for exercising your rights. EU and UK residents may also complain to their local data protection authority.
International transfers
We're based in the United States and process information there. If you use the Services from elsewhere, your information will be transferred to the US, using safeguards such as Standard Contractual Clauses where required.
Children
You must be 18 or older to create a Pancake account. We don't knowingly collect personal information from anyone under 18 except where a parent, guardian, or authorized production member adds information about a minor performer to a production. If you believe a minor's information was provided improperly, contact us and we'll delete it.
Changes to this Policy
We may update this Policy. If changes are material, we'll notify you by email or in the Services before they take effect. The effective date at the top shows the latest version.
